Privacy statement

Recruitment is about people, and therefore about personal data. Here you can read which data we use, why, and what your rights are.

Who we are

Wervingshuis is an agency for recruitment & selection, interim placement and recruitment support in HR and recruitment, registered with the Dutch Chamber of Commerce under number 83998616. Wervingshuis is the controller for the processing of your data as described in this statement.

Questions about privacy? Contact us at info@wervingshuis.nl or +31 6 25 25 13 12.

Which data we process

Depending on how you get in touch with us, we process:

  • Your name, email address and phone number.
  • Your CV, and what you tell us about your work experience, education, wishes, availability and salary expectations.
  • Your message through the contact form, and the vacancy you respond to.
  • Notes from our conversations with you.
  • Data from your public professional profile, for example on LinkedIn, if we approach you.
  • For clients: name, job title and contact details of contact persons.

We do not ask for special categories of personal data, such as health or religion. Please leave these out of your CV as well.

Why we use your data

  • Placement in a role or assignment. To get to know you, discuss suitable vacancies and, with your permission, introduce you to a client. We do this based on your consent and to reach an agreement with you.
  • Getting in touch. To respond to your message and send you a confirmation. We do this based on our legitimate interest in answering your question.
  • Approaching you. If we find you through your public profile, we contact you about a role that suits you. We do this based on our legitimate interest. In our first message we let you know that we have your data, and if you are not interested, we delete it.
  • Working with clients. To make and carry out agreements, based on the contract and our legitimate interest.
  • Administration. For invoices and accounting, because the law requires it.

Who we share your data with

We never introduce you to a client without your permission for that specific vacancy. We do not sell your data and do not use it for advertising.

For our work we use a number of services that process data on our behalf. We make agreements with these parties to protect your data:

  • Netlify: hosting this website, and receiving the contact form and uploaded CVs. A submission is deleted from Netlify as soon as it has been forwarded to our mailbox.
  • Brevo: sending the confirmation email after the form, and forwarding your submission and CV to our own mailbox.
  • Google Workspace: email and files, including contact form submissions. We clean these up according to the retention periods below.
  • Cal.com: scheduling an introduction through our online calendar.
  • Umami: anonymous visitor statistics, without cookies.
  • Our relationship management system: keeping track of contacts and conversations.

Some of these parties process data outside the European Union, for example in the United States. This only happens with the safeguards required by the GDPR, such as the EU US Data Privacy Framework or the standard contractual clauses of the European Commission.

How long we keep your data

  • Candidates: we keep your CV and data for up to four weeks after a procedure has ended. If you give permission, we keep them for up to one year, so we can approach you for new roles. You can withdraw that permission at any time.
  • Approached through your public profile: if you are not interested, we delete your data right away.
  • Contact form without follow-up: up to six months.
  • Clients: for as long as we work together and up to two years after that.
  • Administration: seven years, as required by law.

Security

We protect your data with appropriate measures. The website uses a secure connection, our accounts are protected with two-step verification, and only Wervingshuis has access to your data.

Cookies and technical data

This website does not use cookies. To see how the site is used, we count visits anonymously with Umami: without cookies, without storing your full IP address and without tracking you across other sites. We cannot identify you with it.

The fonts are hosted on our own server, so no data is sent to Google when you visit.

As with any website, our hosting provider Netlify records technical data, such as your IP address and browser type. This is needed to keep the site secure and working properly. We do not use this data to track visitors.

Your rights

You have the right to:

  • Access your data.
  • Have incorrect data corrected.
  • Have your data deleted.
  • Restrict processing, or object to processing based on our legitimate interest.
  • Receive your data in a common file format.
  • Withdraw your consent.

Send your request to info@wervingshuis.nl. We respond within one month. To prevent misuse, we may ask you to confirm your identity.

A complaint

Not happy with how we handle your data? Let us know first, and we will look for a solution together. You also have the right to file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Changes

We may update this statement, for example when we start using a new service. The latest version is always on this page.
